Where were VIKINGBUS, when we started?

VIKINGBUS is the result of a merger of 17 local bus companies from across Denmark. The transformation was not just about new logos and visual identities on the buses — it was a far deeper organisational shift that required a complete rethinking of how the business operates.

One of the central pressure points was the high daily volume of customer enquiries. VIKINGBUS received between 500 and 700 enquiries every day via email and phone — from schools, businesses and private customers seeking quotes for bus transport. But without a unified system and with varying workflows across departments, it was near impossible to ensure that everyone received precise and timely responses. The quoting process also required significant manual follow-up, because customers often did not provide sufficient information from the outset. This resulted in lengthy back-and-forth communication, lost leads and an inconsistent customer experience across regions.

Where are VIKINGBUS now?

RiseB2B helped VIKINGBUS bring the entire commercial organisation together in one central CRM system: HubSpot. All sales departments now work with the same structure, pipeline and quoting process — regardless of location.

A cornerstone of the solution was the development of a tailored form, available directly from the front page of vikingbus.dk. The form is adapted to VIKINGBUS's broad range of transport services and guides users to provide the information the sales team needs for a precise quote — without the need for back-and-forth communication.

In addition, RiseB2B integrated both the company's production system and website with HubSpot, so the sales team can access availability, pricing and route information directly in the CRM. Finally, an automated NPS system was set up, sent to all customers after a completed journey — giving VIKINGBUS a clear feedback loop to act on market signals.

The tailored form alone generated over DKK 17 million in revenue directly from the website in just 5 months — concrete proof that better data collection at the first point of contact directly improves conversion rate and revenue.

The organisation is now scalable: HubSpot has become the central foundation that enables both growth and operational efficiency across all 17 former companies.
